Naseej OS ("we", "our", "us") is a Software-as-a-Service (SaaS) platform purpose-built for real estate agencies operating in Qatar and the broader Gulf region. We provide tools for property management, lead tracking, portal publishing, agency co-broking, and bilingual AI content generation.
This Privacy Policy explains how we collect, use, store, and protect information when you use our platform at naseejos.com or any related services. By using Naseej OS, you agree to the practices described in this policy.
2. Information We Collect
We collect information in the following categories:
Account & Registration Information
- Name, email address, phone number, and company name
- Username, encrypted password, and role (admin, manager, agent, viewer)
- Country and preferred language
Business Data (provided by you)
- Property listings: descriptions, prices, locations, specifications, photos, and documents
- Lead and contact information: names, phone numbers, emails, and inquiry details
- Activity records: notes, follow-ups, stage changes, and communications
- Booking requests and related supporting documents
Usage & Technical Data
- IP address (truncated for privacy after processing)
- Browser type, operating system, and device information
- Pages visited, features used, and timestamps of actions
- Error logs and performance metrics
Demo Request Data
- Name, email, company, phone, country, and message submitted via our marketing contact form
3. How We Use Your Information
We use the information we collect to:
- Provide and operate the platform — authenticate users, store property and lead data, and enable all platform features
- Publish property listings — send your listing data to portals such as PropertyFinder, QatarLiving, OLX, and Saakin at your direction
- Generate AI content — pass property details to OpenAI's API to produce bilingual marketing descriptions (only at your explicit request)
- Send communications — deliver in-app notifications, email alerts for system events (e.g., new leads, booking requests), and transactional emails
- Improve the platform — analyse usage patterns to fix bugs, optimise performance, and develop new features
- Respond to demo requests — contact people who request a product demonstration
- Security and compliance — detect fraud, prevent abuse, and comply with applicable law
4. Information Sharing
We do not sell your data to third parties. We share information only in the following limited circumstances:
- At your direction: When you publish a listing to a portal or share a property link, the relevant data is sent to the destination you chose.
- Service providers: We use trusted sub-processors (listed below) strictly to operate the platform. They may only process your data on our behalf and according to our instructions.
- Legal requirements: We may disclose data if required by applicable Qatari law, a court order, or a legitimate government authority.
- Business transfer: In the event of a merger, acquisition, or sale of assets, your data may be transferred, with notice provided to affected users.
5. Third-Party Services
Naseej OS integrates with the following third-party services. Each has its own privacy policy:
- OpenAI — AI-generated property descriptions (openai.com/policies/privacy)
- Telegram — Bot-based data collection for property intake (telegram.org/privacy)
- respond.io — CRM messaging and contact synchronisation (respond.io/privacy)
- Late.dev — Social media publishing automation
- PropertyFinder, QatarLiving, OLX, Saakin — Listing portals where your properties are published at your request
- Google Analytics — Anonymous website usage statistics (policies.google.com/privacy)
- Replit — Cloud infrastructure provider hosting the platform
6. Data Retention
We retain your data for as long as your account is active or as needed to provide services. If you close your account, we will delete or anonymise your personal data within 90 days, unless retention is required by law or for legitimate business purposes (e.g., resolving disputes or fraud prevention).
Business data (properties, leads, contacts) belonging to your organisation is retained for the duration of your subscription and for 30 days following termination, during which you may request an export.
7. Security
We implement appropriate technical and organisational measures to protect your data, including:
- Encrypted connections (HTTPS/TLS) for all data in transit
- Bcrypt-hashed passwords — we never store plaintext passwords
- Role-based access control limiting data visibility by user role
- Complete data isolation between tenants (your data is never accessible to other organisations)
- Encrypted environment variables for all API keys and credentials

8. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete data

- Portability: Request an export of your data in a common format
- Objection: Object to specific processing activities

10. Children's Privacy
Naseej OS is a professional business platform. We do not knowingly collect personal data from anyone under the age of 18. If we become aware that a minor has provided us with personal information, we will delete it promptly.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will notify active account holders by email or through an in-app notice at least 14 days before the changes take effect.
